As the ILL Staff Borrowing Coordinator, the person in this position has responsibility for processing all Borrowing requests from our patrons, including setting priorities so that requests deadlines are met daily. This person will be responsible for complex borrowing requests, issues and processing. This person will be responsible for creating training materials for borrowing assistant and student employees in consultation with the ILL/Reserves Manager.

 

This regular, full-time position works Weekdays between, 7am to 5pm. All staff maybe required to change their shifts as needed by the department.  During shortened and summer hours, schedule varies from the Fall/Spring

 

ESSENTIAL DUTIES & RESPONSIBILITIES (include percentages of time)

 

Interlibrary Loan

 

Process Borrowing Requests (60%)

  • Coordinate and set priorities for daily Borrowing workflow
  • Routinely check and respond to E-mail and voice messages for Borrowing
  • Prepare Statistical Data
  • Maintain awareness of Interlibrary Loan copyright compliance
  • Process copyright clearance for borrowing requests
  • Follow up on requests forwarded to the Acquisitions Department
  • Process errors in system alerts
  • Routinely check various queues to catch errors (Request Sent, Customer notified via email, Unfilled, etc.)
  • Process regular and rush priority borrowing requests according to detailed instructions and using specialized software such as ILLiad, ALMA, Circulation software, ODYSSEY, and MS Office. This involves searching OCLC and IBIS using specialized search techniques and evaluating information to determine further actions
  • Know and apply policies and procedures to facilitate electronic receiving of documents to University of Miami users. This involves the use of specialized scanner technology (BscanILL, ScannX, ILLiad)
  • Process document delivery requests using Odyssey, Library databases, Google, ILLiad software, and MS Office
  • Create, maintain, and update patron records in ILLiad. Verify patron information in ALMA
  • Receive and process materials from lending libraries (via mail, courier, Odyssey, and E-mail) and prepare materials for delivery to library users
  • Coordinating shipping for all returning Items to Lending Libraries

 

 

Process Lending Requests (15%)

  • Process regular and rush priority lending requests according to detailed instructions and using software such as: ILLiad, ALMA, ODYSSEY, and MS Office This involves searching OCLC and IBIS using specialized search techniques and evaluating information to determine further actions
  • Know and apply policies and procedures to facilitate electronic delivery of documents to other universities and libraries. This involves the use of specialized scanner technology (BscanILL, ScannX, ILLiad)
  • Route special requests to appropriate service point – Miami Lakes, Music Library, Special Collections, CHC
  • Accurately check in and check out library materials leaving or returning to our library (books, special formats, etc.) using ALMA and ILLiad
  • Retrieve materials from stacks, packs  materials for shipping, oversee delivery of ILL materials to other libraries (via mail, courier, Email, Rapid, and fax)

 

 Circulation and Reserves (10%)

  • Know and apply Circulation policies and procedures
  • Process library materials using ALMA
  • Provide service at the 1st Floor Circulation Desk and help with Microform Readers as needed
  • Assist in processing Course Reserves as needed (create courses, add items, scanning.)
  • Coordinate and set priorities for Paging

 

Communications, Relationships, and Service (10%)

  • Maintain helpful and supportive customer service behavior with all library patrons
  • Establish effective interdepartmental relationships to increase unit effectiveness and disseminate information
  • Communicate frequently and effectively with ILL/DD staff and other departmental staff or administration in a timely manner regarding procedures, policies, and other necessary information

 

Other duties as assigned (5%)

  • Assist with special divisional (cross- unit Stacks, offsite storage, and ILL) and library-wide projects as assigned
  • Participate in library committees and teams as needed.
  • Participate in training programs and workshops
  • Assist with maintaining up to date procedures manuals for interlibrary loan operations
  • Hire, evaluate, and train student workers

 

Percentages may vary dependent on service and operational needs of the Unit and the University of Miami Libraries.

 

WORKING RELATIONSHIPS

 

Supervision Received

  • This position reports to the Interlibrary Loan/ Reserves Manager.

 

Supervision Given

  • This individual assists in the training and  supervision of student assistants on a daily basis

 

Level of Contacts

  • Within the library, this person will have regular business contact with equipment technicians, works with all levels of library faculty and staff as well as student employees. This person will also have contact with patrons of the library as well as alumni and community users. Outside the library, this person will have contact with faculty and staff from other institutions on phone or email when requesting items from other institutions or answering questions for Lending. In all contacts, the incumbent is expected to be professional and courteous.

 

 

 


Education:

QUALIFICATIONS (Education, Experience, Skills, Training, etc)

 

  • High School graduate or equivalent
  • Two years of office or clerical work experience preferred
  • Typing skills of 30 WPM
  • Excellent organizational skills
  • Excellent Customer Service and interpersonal skills
  • Must be able to lift 30 pounds and push 50+ pounds
  • Experience with Microsoft Office software including Word, Excel, and Outlook
  • Strong written and oral communication skills
  • Understanding of Internet navigation/research required
