GENERAL DESCRIPTION:
The Events Program Coordinator plans, organizes, promotes, and implements events and programs primarily for the Starkey Ranch Theatre, but may coordinate events and programs for all locations in the library system. The Events Program Coordinator will assist with room as well as audio and visual set up. The Events Program Coordinator will initiate community partnerships and identify outside entities and recommend opportunities to enhance programming. The Events Program Coordinator will seek funding opportunities such as grants, sponsorships, donations, etc.

ESSENTIAL JOB FUNCTIONS:
The following statements describe the principal functions of this job and its scope of responsibility but should not be considered an all-inclusive listing of work requirements. Individuals may perform other duties as assigned, including working in other functional areas to cover absences or relief, to equalize peak work periods or otherwise to balance the workload.
Plans, implements, and facilitates events; identifies subject matter for events based on guidance provided, statistics, current trends, and customer requests; coordinates schedule between presenters and library locations; negotiates fees and contracts to fit library budget.
Serves as events presenter; develops content for workshops and events; creates and prepares handouts and other materials to enhance the event experience; collects statistics and enter survey information.
Initiates and secures community partnerships via in-person meetings, online activities, and social media; researches events provided by outside entities to identify and recommend opportunities.
Hosts events; assists external presenter with setup, including room and audio-visual setup; conducts surveys to determine success of event and implement lessons learned.
Coordinates with library staff to promote events through newsletter, the website, ads, press releases and social media; networks via in-person events and social media in order to establish community contacts and opportunities for promotion of library events.
Participates in community outreach events to market library services, support library initiatives, network with potential presenters and partners; and prepares and gives presentations at local meetings on behalf of the Library to spread awareness about theatre/library events and services.
Prepares, submits, and/or summarizes various routine and non-routine reports including revenue and expenditure projections and reconciliations.
Maintains accurate records and files including audio-visual technology and equipment.
Contributes to the efficiency and effectiveness of the unit’s service to its customers by offering suggestions and directing or participating as an active member of a team.
Demonstrates courteous and cooperative behavior when interacting with public and staff; acts in a manner that promotes a harmonious and effective workplace environment.
Requires ability to lift and/or move up to 40 lbs.
Requires ability to bend, stretch, stoop, kneel, reach and climb frequently
Performs related duties as required.

KNOWLEDGE, SKILLS AND ABILITIES:
Principles and practices of event planning and management.
Record keeping principles and practices.
Correct business English, including spelling, grammar, and punctuation.
Principles and techniques of preparing effective written informational or educational materials.
Techniques of making effective oral presentations to large and small groups and the broadcast media.
Standard office practices and procedures, including filing and the operation of standard office equipment.
Techniques for dealing with a variety of individuals, in person and over the telephone.

 

Education/Qualifications:

MINIMUM REQUIREMENTS:
PHYSICAL SKILLS:   Ability to communicate effectively using verbal, written, and visual communication. Ability to lift and/or move up to 40 lbs; ability to bend, stretch, stoop, kneel, reach and climb frequently.

EDUCATION, TRAINING AND EXPERIENCE:  Graduation from an accredited college or university with a Bachelor’s degree in marketing, communications, or a related field with two (2) years' of event planning experience required. Previous libraries associated experience preferred.

LICENSES, CERTIFICATIONS OR REGISTRATIONS:  Must possess and maintain a valid Florida driver's license.

Salary Range:  $50,822.00 - $76,232.00
Pay Grade:  P37 (Exempt position)

Pay rates are based on education, skill, experience level and internal equity.
New Hires are generally brought in from minimum to midpoint of pay range.
